In this register and data protection statement, we explain what information we collect about our job applicants, personnel and customers, how and why we process that information, and how we protect it. When processing data, we comply with the EU General Data Protection Regulation and current legislation requirements.

3. Register name

JobNord’s register containing information on jobseekers, employees and customers.

 

4. Purpose and basis of personal data processing

The purpose of processing personal data is to register such information about job seekers that is necessary for recruiting the job seeker and determining the suitability of the job seeker for the jobs offered by the Company.

In addition, the register contains such information about the Company’s job seekers, employees and white-collar workers that is necessary for handling the Company’s employment matters and related employer obligations.

The legal basis for the processing according to the General Data Protection Regulation on the processing of personal data is the data entered by the data subject, the fulfillment of statutory employer obligations and, in some processing cases, a legitimate interest related to the relationship between the job seeker/employee and the employer.

 

Only company information and contact person’s name, work phone number and work email address are collected from the company’s customers for possible cooperation.

 

5. Automatic decision making

The processing of personal data does not include automatic decision-making. Automatic decision refers to a decision that is made completely automatically without human participation in the decision making and the decisions made have legal effects or such decisions otherwise significantly affect the data subject.

 

6. Data content of the register

The following basic job applicant information can be stored in the register:

• first and last name

• contact information (postal address, mobile phone number, email address)

• social security number, if the job seeker has previously been an employee of the Company or if

an employment contract has already been agreed upon

• Bank contact information, if the job seeker has previously been an employee of the Company or if

an employment contract has already been agreed upon

• language skills

• gender

• profession

• citizenship

• work permit and related information

• educations, degrees, skills

• work experience

• desire for salary

• referrers and referrer evaluations

• photographs of the job seeker

• the job seeker’s wishes regarding the job

• information about the job seeker’s availability

• information that has previously been collected from the job seeker, if the job seeker has previously been working with the Company

• Curriculum vitae sent by the applicant themself

• Other information that the person tells about themself

In addition, with the consent of the job seeker, the Company can collect recommendations and information about the job seeker’s work performance feedback from the job seeker’s previous employers.

 

The following information about the Company’s employees can be entered in the register:

• first and last name

• contact information (postal address, mobile phone number, email address)

• personal identification number

• language skills

• citizenship

• bank contact information

• information regarding the employment relationship (job title, start and estimated end date of the employment relationship, user company of the order, contact details of the next of kin)

• basic information related to payroll

• information related to working time monitoring and annual holidays

• necessary information collected in relation to occupational health care

• work permit and related information

• educations, degrees, skills

• work experience

• recommenders

• photos of the employee

• the employee’s wishes regarding the workplace

• all information collected about the job seeker in connection with the job search process

• other information regarding the employment relationship based on the law

• Curriculum vitae sent by the employee themself

 

7. Sources of information

The company collects the information in the register with the consent of the job seeker, as a rule, from the job seeker himself. In addition, the Company collects and stores in the register feedback on the employee’s work performance from the recommender nominated by the job seeker/employee.

 

8. Transfers of information

Personal data will not be transferred or disclosed outside the European Union or the European Economic Area.

Information stored in the register is disclosed to the Company’s client companies or others for the purpose of employment to third parties only with the express consent of the job seeker or employee, unless the Company has a legal right to disclose personal data without consent.

Personal data can be transferred to the Company’s contractual partners who process personal data on behalf of the Company on the basis of an agreement between the parties. The company’s contractual partners have the right to process personal data only to the extent required by the agreed service, and they do not have the right to process transferred data in their own personal registers for their own account. Every service provider used agrees to process personal data in accordance with the applicable data protection legislation.

 

9. Register protection principles

The register consists of both manually collected material and electronically stored data.

Manually collected material is stored in locked rooms. Electronically stored personal data is protected in the information system with firewalls, personal passwords and user IDs, and only designated persons have access to the data.

 

10. Rights of the data subject

The registered person has the right to check what information has been stored in the register concerning them.

The right of inspection can be exercised by requesting an inspection from the person responsible for the Company’s register matters.

The company has the right to verify the identity of the requester before releasing the information.

If the use of registered data is based on consent, the data subject has the right to withdraw this consent at any time. When the use of data is based on a legitimate interest, the data subject has the right to object to data processing in certain situations.

The registered person has the right to demand the correction and change of incorrect information and the temporary restriction of the use of the information by submitting a specific request to the person responsible for registry matters.

The registered person has the right to demand the deletion of their data. In this case, all data collected from the person will be deleted if they are no longer needed for the purpose for which they were originally collected or if their use was based on the data subject’s consent. The registrant also has the right to request the transfer of the data he/she has provided themself from one system to another, if their processing is based on consent or an agreement. In this case, we deliver the information in question in a machine-readable format, so you can keep it yourself or deliver it yourself to another data controller.

The registered person also has the right to file a complaint with the supervisory authority about the processing of his data.

11. Data storage

Company always has the right to keep the information it has collected and stored about the job seeker or employee as long as the job seeker and employee have the right to make demands on the Company related to the employment relationship or job search and the retention of the collected information is necessary to respond to such demands or to defend the Company’s rights. If the Company has a legal obligation store employee-related information (such as salary information, etc.), such information is kept as long as the law requires storage. The Company may also keep the information it has collected with a permission submitted by the employee or applicant.

 

12. Changing the privacy statement

The company reserves the right to change the content of this data protection statement, if changes in data protection legislation or the development of the company’s business require it.
